The Chance
In the role of Finance and Administration Assistant, your duties will include carrying out accounting, procurement, and administrative tasks to support all project activities in accordance with the pertinent Department of State/ Office of Foreign Assistance (OFA) and Abt Global policies and procedures. Reporting to the Finance and Administration Manager, your role will involve supporting the finance team to maintain current transactions and financial records for the accounts.
Key Duties
- Support the Accountant in submitting the ROV on time, following Abt Global’s procedures and policies.
- Digitally scan and upload all financial documents into Abt’s online accounting program, QuickBooks.
- Aids the Accountant in creating payment vouchers and related checks.
- Aids the Accountant in examining invoices and expense reports prior to payment and coordinating with vendors and staff to collect supporting documentation.
- Aids the Accountant with QuickBooks entries, bank reconciliations, and monthly reporting.
- Helps with internet banking activities.
- Aids in mobile money payment transactions to suppliers, personnel, and seasonal workers.
- Carry out general clerical tasks, including but not limited to photocopying, scanning, filing, and mailing.
- Support employees in finishing their Timesheets.
- Organize travel logistics for project personnel going beyond their area or for foreign guests as required.
- Keep both physical and digital versions of a project archive, which includes contracts and subcontract documents, client approvals, employee records, consultant files, travel documentation, procurement records, files of project outputs, meeting minutes, and project reports.
- Additional tasks as designated by the supervisor.
Minimum Requirements
- Bachelor’s degree along with 2 years of pertinent work experience.
Preferred Credential:
- Bachelor’s Degree in Accounting, Finance, Management, Business, or any other related area (preferred).
- 2 years of related work experience and strong attention to detail is highly preferred.
- Proficient in bookkeeping and creating vouchers along with accounts reconciliation.
- Skilled in utilizing Quickbooks
- Strong comprehension of mobile payment systems for money transfers
- Previous experience in administrative office tasks and inventory control
- Familiarity and expertise with Windows, Word, Excel, PowerPoint, and additional software for data processing and graphic presentations.
- Capability to evaluate issues and create remedies.
- Outstanding interpersonal communication abilities and superb organizational skills.
- Preference for applicants with experience related to Department of State/Office of Foreign Assistance-funded projects or other international development experience.
- Proficiency in English is preferred along with a basic understanding of the local language in the project region.

Essential Requirements
High School Diploma plus four years of applicable experience, or an Associate’s Degree plus two years of applicable experience.
