POSITION: Office Manager 

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH, a global federal enterprise operating in over 100 countries, is seeking an Office Manager for its Tamale office. This role is part of the Private Sector and Innovation Promotion (PSInno) programme, which supports Ghanaian SMEs in agro processing and the digital economy to enhance competitiveness and sustainable growth. You will be primarily responsible for ensuring the seamless day-to-day operations of the PSInno office in Tamale.

Project Overview and Scope of Role

The PSInno programme builds on previous initiatives to help SMEs access markets, finance, and digital skills. As the Office Manager, you will ensure effective administrative execution, basic financial management, and smooth coordination with all stakeholders, forming the operational backbone of the Tamale office.

Key Tasks and Responsibilities

Your duties will encompass a wide range of operational, financial, and logistical support functions.

  • Manage all incoming and outgoing correspondence, facilitating clear dialogue between internal teams and external partners.
  • Initiate electronic invitations and act as the administrative host for meetings with national and international participants.
  • Coordinate all administrative and logistical aspects for training sessions and events, handling invitations, registrations, and evaluations.
  • Create and maintain a comprehensive and orderly physical and electronic filing system for the office.
  • Coordinate bookkeeping activities, manage petty cash, and handle invoicing processes accurately.
  • Execute procurement tasks and maintain accurate data relevant for tender processes in designated software.
  • Check invoices, vouchers, and payment instructions, then enter all accounting documents into the appropriate software system.
  • Follow up on the monthly closing and balance of accounts, comparing expenditures against approved budgetary allocations.
  • Coordinate and monitor team schedules to ensure agreed blocks of time remain clear for planned events and priorities.

Required Qualifications and Experience

  • Candidates must hold a university degree in Business Administration, Office Management, or a similar area.
  • Possess two to four years of professional experience in a comparable administrative or office management position.
  • Demonstrate excellent working knowledge of ICT and standard computer applications, especially MS Office; experience with accounting software is a strong asset.
  • Exhibit very good command of the English language with excellent oral and written communication skills.
  • Be highly organized with the proven ability to multitask effectively and work independently without daily supervision.
  • Show strong time management skills and a consistent customer and service-oriented attitude.
  • Have the ability to develop work plans, solve problems independently with a creative and pragmatic approach, and a willingness to upskill as required.
