POSITION: Editorial Assistant 

Job Description

The Union for African Population Studies (UAPS) is a respected Pan-African, non-profit organization dedicated to advancing impactful population and development research across the continent. Our flagship publication, the Journal of African Population Studies (JAPS), is a bilingual peer-reviewed journal that disseminates high-quality research relevant to Africa’s diverse contexts. We are now seeking a meticulous and proactive Editorial Assistant to support the management and publication workflow of JAPS. This role is vital for ensuring the journal’s editorial excellence and timely dissemination of critical research that informs policy and practice.

Role Overview

Reporting to the Editor-in-Chief and collaborating with the Editorial Board, the Editorial Assistant will coordinate the journal’s peer-review process, manage author and reviewer communications, and oversee administrative tasks related to publication. This position requires exceptional organizational skills, attention to detail, and fluency in both English and French.

Key Responsibilities

Editorial and Publishing Support:

  • Assist the Editor-in-Chief and Editorial Board with all publication-related administrative tasks.
  • Coordinate the manuscript workflow from submission to publication, ensuring adherence to timelines.
  • Proofread accepted manuscripts and collaborate with authors on final layouts.
  • Support the review process for proposals and typescripts.
  • Provide research and editorial assistance to the editorial team as required.

Author and Contributor Relations:

  • Maintain clear and consistent communication with authors, reviewers, and editors.
  • Build positive relationships by delivering high-quality support throughout the publication journey.
  • Manage acknowledgements and correspondence with donors and partners where applicable.

Administrative Coordination:

  • Handle administrative duties, including payment processing and editorial record-keeping.
  • Liaise with stakeholders to provide necessary information and updates.
  • Prepare progress reports and support reporting to internal committees.

Technical and Web Support:

  • Interface with the journal’s web host to manage updates and online publishing.
  • Troubleshoot technical issues related to the journal’s website or publishing platform.

Your Profile and Qualifications

Essential Requirements:

  • A Master’s degree in a Social Science, Publishing, or a related field.
  • Minimum of two years of experience working with academic journals, including managing peer-review and editorial workflows.
  • Excellent proofreading, copyediting, and manuscript evaluation skills.
  • Strong written and verbal communication abilities in both English and French.
  • Proficiency in Microsoft Office, Adobe Creative Suite, and document publishing tools.
  • Ability to work independently, manage multiple priorities, and meet strict deadlines.

Ideal Candidate Profile:

Familiarity with Open Journal Systems (OJS), open-access publishing, and research ethics is highly desirable. We seek a detail-oriented professional with a service-minded approach and a passion for scholarly communication in Africa.
