POSITION: Accounts Officer
BRAC Ghana Savings and Loans Ltd (BGSL) is seeking an Accounts Officer to join our team at the Ahenema Kokoben branch in Kumasi. As an Accounts Officer, you will not simply keep books; you will ensure that loans reach borrowers, savings return to depositors, and every transaction reflects our commitment to transparency and integrity.
Your Mission
You will take responsibility for financial bookkeeping, recording transactions, processing payments and expenses, and handling invoices. Your focus will span cash management, loan disbursement oversight, savings refunds, asset tracking, report preparation, and safeguarding compliance. Your ability to maintain accurate records and adhere to BRAC’s values will protect our clients and our organization.
Key Responsibilities
Your role spans cash management, loan and savings oversight, asset tracking, reporting, compliance, and team coordination. Here is what you will tackle:
Cash & Fund Management
- You will ensure all collections deposit into the office fund with no excess cash in hand or bank.
- Recording cash in daily collection registers and preserving cash in the file by preparing necessary notarized vouchers keeps every transaction traceable.
- Updating, preserving, and maintaining the daily MF cash book provides a clear record of all inflows and outflows.
Loan Disbursement & Savings Refunds
- You will ensure that loans disburse in the presence of the local supervisor or representative, preventing unauthorized transactions.
- Ensuring that savings refund to the right persons, again in the presence of the local supervisor or representative, protects depositors.
Asset & Stock Management
- You will update the stock book and assets register in the orbit system while ensuring the placement of identification numbers on fixed assets.
- Tracking assets prevents loss and supports accurate financial reporting.
Reporting & Documentation
- You will check, prepare, and submit Google sheet reports including office rent, self insurance, bonus, stationery, daily and weekly transaction reports, procurement control, and more.
- Updating and maintaining files according to Finance Guidelines keeps documents organized and audit ready.
- Submitting monthly financial statements to the Area Accountant on time with necessary supporting documents demonstrates reliability.
Banking & Reconciliation
- You will prepare monthly bank reconciliation statements, ensuring alignment between bank records and cash books.
- Sending DCR, cash book reports, and bank slips daily keeps management informed.
Payroll & Payments
- You will prepare staff salary and submit to the Area Accountant within the 18th day of every month.
- Taking initiative to transfer staff salary based on verified payroll ensures employees receive pay on time.
- Checking movement registers before paying transport bills and attendance registers before paying lunch bills prevents fraud.
Procurement & Office Supplies
- You will prepare requisition forms for purchases and challan forms for all assets or goods transferred to other offices.
- Ensuring the availability of office supplies such as printing materials, stationery, entertainment, electricity, water, general maintenance, and program materials keeps operations running.
Audit & Compliance
- You will ensure proper cooperation and communication with internal audit, external audit, and visitors.
- To be aware and strictly adhere to BRAC’s values guides every decision you make.
Safeguarding Responsibilities
- You will establish a safeguarding culture across all levels of the programme by implementing the safeguarding policy.
- Acting as a key source of support, guidance, and expertise on safeguarding for establishing a safe working environment protects clients and colleagues.
- Following the safeguarding reporting procedure in case any reportable incident takes place ensures prompt, proper action.
What You Bring to the Role
We are looking for a candidate with the right education, experience, and competencies. Here is what you need:
Specific Educational Qualification
- HND or First Degree in Accounting or a related discipline.
Experience
- At least one year of working experience in a microfinance or financial institution.
- Experience with cash and bank transactions.
- Experience preparing cash requisitions and cash certificates.
- Experience preparing bank reconciliation statements.
- Knowledge of Microsoft Word and Excel.
Knowledge, Skills & Competencies
- Knowledge of MS Word, MS Excel, and the Internet.
- Effective communication skills for liaising with the Area Accountant, branch staff, and auditors.
- Reporting and writing skills in English for preparing clear, accurate reports.
- Attention to detail for spotting coding errors, reconciliation discrepancies, or documentation gaps.
