POSITION: Administrative Assistant

Your Daily Responsibilities
As our Administrative Assistant, your role will be multifaceted and crucial to our daily operations. Your primary mission will be to ensure the administrative side of our centre runs smoothly, allowing our medical staff to focus entirely on patient care. More specifically, your key responsibilities will include:
- Welcoming Patients & Front Desk Management: You will be the friendly and professional face of Westview Medical Centre. This involves greeting patients warmly, managing the reception area to ensure it remains tidy and welcoming, and handling initial inquiries with courtesy and efficiency.
- Meticulous Records & Filing: Accuracy is paramount in healthcare. You will be responsible for maintaining both digital and physical patient records with the highest level of precision and confidentiality, ensuring all files are up-to-date and easily accessible.
- Dynamic Scheduling & Coordination: You will master the art of coordination by managing appointment schedules for patients and maintaining staff calendars. This requires balancing competing priorities to optimize the flow of the day for everyone.
- Comprehensive Office Support: Beyond the front desk, you will provide vital support by handling correspondence, addressing basic billing queries, and generally troubleshooting any administrative hiccups that may arise. Your goal will be to ensure the smooth execution of all daily office tasks.
- Proactive Inventory Management: To prevent any interruptions in our workflow, you will monitor office supply levels and assist in the procurement process. This means anticipating needs before they become shortages.
Skills and Qualifications
We are looking for an individual who possesses a specific blend of education, experience, and personal attributes. While we are committed to finding the right fit, the following qualifications are essential:
- Educational Background: A minimum of a Diploma or a Degree in Business Administration, Management, or a closely related field is required.
- Professional Experience: Previous experience in an administrative role is necessary. Experience in a medical environment is certainly an advantage, but we welcome applications from all strong administrators who are eager to learn.
- Technical Proficiency: You must be highly proficient in the Microsoft Office Suite, particularly Word, Excel, and Outlook, as these are the cornerstone tools for our daily tasks.
- Core Competencies: Furthermore, we are seeking someone with excellent communication and interpersonal skills, as you will be interacting with patients, staff, and vendors daily. A keen attention to detail, coupled with the proven ability to multitask effectively in a fast-paced environment, is non-negotiable.
Finally, please note that this position is based in the vibrant city of Takoradi. Consequently, candidates must either be a current resident of Takoradi or be willing to relocate immediately upon acceptance of the offer.
